Filling in an inspection

Start from the door: scan its QR label, or find it under Portfolio, then choose Start inspection. If you've already started one, you'll see Continue inspection.

The door's details (location, rating, type) come from the door register, so you don't type them in.

Everything starts at Pass

Every checklist item starts at Pass, so you only change what's wrong. There are two exceptions:

  • The glazing items start at N/A when the register says the door has no glazing.
  • "Double doors meet correctly" starts at N/A. Change it if the door is a pair.

Signing off means you checked every item, not only the ones you changed. If the register is wrong (say the door does have glazing), change the answer and tell whoever looks after the register.

Failing an item

Set the item to Fail and describe what's wrong. It's added to the defect log on the same form, with a suggested action and a target date already filled in. The item shows "Added to the defect log", with a link to check it. See Defects.

What you need before you can submit

  • The five named photos. Two can be skipped: the self-closer photo when "Self-closer fitted, secure and connected" is N/A, and the label photo when "Fire-door label or rating mark legible" is N/A. See Photos.
  • For each failed item: a description, the required action, who is responsible, a target date, and at least one photo of the defect.
  • If anything failed, or you're referring the door: the immediate safety action you took. Write "None" if there wasn't one.
  • The declaration that you inspected the door in person.

If something's missing, the form lists it and takes you to it.

After you submit

You'll see a summary: the result, every defect logged, updated or closed, and when the door is next due. Everything on it is also on the inspection record and the door's page.

Drafts and signal

Your inspection saves as you go. The top of the form shows whether it's saved. If a save fails, a warning stays on screen, saying why, until your changes save again.

Stairwells and plant rooms often have no signal. Your answers wait on the phone and are sent when you're back online, as long as you keep the tab open. Photos need signal to upload. If one doesn't go, take it again once you're back in range.

To throw away a draft, use Discard draft at the bottom of the form and confirm. This deletes the draft and its photos, records nothing against the door, and leaves it due.
